How to Write an ATS-Friendly Resume in 2026

April 10, 20268 min read

What Is an ATS and Why Does It Matter?

An Applicant Tracking System (ATS) is software that companies use to filter, rank, and manage job applications. Over 98% of Fortune 500 companies use an ATS, and most mid-size employers do too. If your resume isn't optimized for these systems, it may never reach a human recruiter.

1. Use a Clean, Single-Column Layout

ATS parsers struggle with multi-column layouts, tables, and text boxes. Stick to a single-column format with clear section headings. Avoid headers and footers for critical information like your name and contact details — many systems skip those areas entirely.

2. Choose Standard Section Headings

Use conventional headings that every ATS recognizes: Professional Summary, Experience, Education, and Skills. Creative alternatives like "Where I've Made an Impact" confuse parsers and cause your content to be miscategorized.

3. Mirror the Job Description Keywords

Read the job posting carefully and incorporate relevant keywords naturally into your resume. If the posting says "project management" and "stakeholder communication," use those exact phrases — not synonyms. ATS systems match on specific terms.

4. Use a Standard File Format

Submit your resume as a .docx or .pdf file. While most modern ATS handle PDFs well, some older systems still prefer .docx. When in doubt, check the application instructions or submit both.

5. Quantify Your Achievements

Numbers stand out to both ATS algorithms and human reviewers. Instead of "Managed a team," write "Managed a team of 12 engineers, delivering 3 major product releases ahead of schedule." Specific metrics demonstrate impact.

6. Skip Graphics and Icons

Skill bars, pie charts, icons, and profile photos are invisible to ATS parsers. They add visual clutter without contributing searchable content. Save the creativity for your portfolio site.
